Voluntary Work Agreement
This agreement is between
- Bauer Radio Limited (the “Promoter”) (on behalf of Cash for Kids) whose registered office is at Media House Peterborough Business Park, Lynch Wood, Peterborough, United Kingdom, PE2 6EA and registered under company number 01394141 “the Company”
- Cash for Kids of Hampdon House, Falcon Court, Preston Farm, Stockton on Tees, TS18 3TS “The Charity”
and
- “Volunteer”
Whereas
the Company and the Charity encourages and welcomes volunteers. Additionally, we believe that the volunteer relationship is built on trust and mutual understanding.
This agreement sets out the relationship between you as the Volunteer, and the Charity. This agreement is binding in honour only. It is not intended to create an employment relationship between you and the Company and/or the Charity.
As a Volunteer, if appropriate we may also require you to be checked by the Disclosure and Barring Service.

Your role as a Volunteer
- The tasks that you will be asked to undertake as a Volunteer are outlined at the start of the online application form and detailed in the Volunteering Pack you’ll receive after registration. Your supervisor will discuss with you the amount of time that you are willing to commit to volunteering, when you will be available each week, and how your availability will fit in with our needs. If, for any reason, you will not be attending as we have agreed, we would be grateful if you could let us know as soon as possible. If we have no work for you we will let you know as soon as possible.
- During the course of your volunteering you will comply with all reasonable directions given by the Company, its employees or officers and in particular must follow all the instructions and reasonable requests of your Supervisor. In all circumstances you must be guided by common sense and be prepared to act accordingly.
- You will not receive any payment from the Charity and/or the Company for your voluntary work. The Charity and/or the Company may, at its discretion reimburse expenses incurred as a part of the voluntary duties undertaken. All claims for expenses must be evidenced by receipts of payments and passed to your supervisor.
Policies and Procedures
- The Company and Charity has in place various policies and procedures, the purpose of which are to ensure the safety of its staff and the protection of its business interests (“Policies”). During your voluntary duties you will be expected to abide by all the Policies. Copies of these Policies are available from your supervisor.
- You are expected to adopt safe working practices and must abide by the Company’s Health and Safety Policy a copy of which is available from your supervisor. It is your duty to familiarise yourself with this Policy.
- During your volunteering you may have access to the Charity’s computer facilities. The Company expects all of its computer facilities to be used in a professional manner. The Company provides these facilities for its own business purposes only. You must ensure that this technology is used only for proper business purposes and in a manner that does not compromise the Company (or any other company or business associated with it) in any way. You must abide by the Company’s IT Policy – a copy of which is available from your supervisor. It is your duty to familiarise yourself with this Policy.
Confidentiality and Security
- You acknowledge that during your volunteering with the Charity you will be exposed to sensitive and confidential personal information about our beneficiaries.
- During your voluntary duties you will not make use of, divulge or communicate any information which relates to the Company, Charity or beneficiaries (or any other company or business) outside of the agreed course of work.
- You must not remove any documents, computer disks or any other recordable media containing any confidential information from the Company’s/Charity’s premises at any time without advance authorisation from your Supervisor. All such documents, disks or other recordable media and any copies are the Company’s/Charity’s property.
- All notes, memoranda, records and writings made by you relating to the business of the Company shall be and remain the property of the Company/Charity and shall be handed over by you to the Company and or Charity from time to time on demand and in any event at the end of your duties.
- Your confidentiality obligations extend to any other company, charity or other organisation associated with the Company.
Status
- You acknowledge that you are not an employee of the Company and this agreement does not constitute a Contract of Employment between you and the Company.
- You acknowledge that at the end of your voluntary duties the Company is under no obligation to offer any work to you.
Termination
- Either you or the organisation can terminate this agreement with or without notice at any time.
Personal Data
- The Company and Charity will hold personal data relating to you as part of its company records and may need to use such information in the course of carrying out its business. By signing this Agreement you explicitly consent to the Company holding and processing your personal data including “special category data” (as defined in the Data Protection Act 2018). Processing includes obtaining, recording, holding, adapting, disclosing and arranging information (in any medium) about you to third parties. For more information, please see our Privacy Policy.
Safeguarding and Working with Vulnerable People
- The Company and Charity takes child and vulnerable adult protection seriously and recognises the role which members of its organisation and its volunteers should play in safeguarding their welfare. Whilst volunteering with Charity, there may be instances where you are in the company of a child or vulnerable adult. We advise that you act accordingly and complete an incident report form if such event occurs. You must adhere to the Safeguarding and working with vulnerable people Policy, which is available from your supervisor. It is your duty to familiarise yourself with this Policy.
- You certify that to the best of your knowledge you are physically and mentally capable of performing the activities likely to be required by the Charity as outlined in the Volunteer pack or Volunteer briefing. You will inform the Company and Charity of any medical condition that might affect your ability to fulfil the Volunteer services in a safe manner.
