Introduction

This Privacy Policy explains how Cash for Kids (“we”, “us”, “our”) collects, uses, stores and protects personal information. Cash for Kids is committed to protecting your privacy and complying with UK data protection legislation, including the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations (PECR).

This policy applies to all personal data collected through our websites, SMS, fundraising activities, events, campaigns, competitions, grant applications, registrations, online shop purchases and communications.

This Privacy Policy should be read in conjunction with the Bauer Media Group Privacy Policy, available at bauerlegal.co.uk/privacy-policy.

Bauer Media Group provides administrative, technical, IT and governance services to Cash for Kids under appropriate data protection agreements.

Who we are

Cash for Kids is the working name of three registered charities operating locally across the UK. Each charity is a data controller responsible for the personal data it processes:

  • Bauer Media’s Cash for Kids Charities, an English registered charity (registered charity no. 1122062 and registered company no. 06424810) operating across England, Wales and Northern Ireland, whose registered office is: Cash for Kids, Hampdon House, Falcon Court, Preston Farm Industrial Estate, Stockton-on-Tees, TS18 3TS.
  • Bauer Media’s Cash for Kids Charities (Scotland), a Scottish registered charity (registered charity no. SC041421 and registered company no. SC376887) operating across the East of Scotland, whose registered office is: Cash for Kids, Bauer Media, 30 Leith Street, St James Quarter, Edinburgh, EH1 3AS.
  • Radio Clyde’s Cash for Kids, a Scottish registered charity (registered charity no. SC003334 and registered company no. SC365231) operating across the West of Scotland, whose registered office is: Cash for Kids, Bauer Media, Clydebank Business Park, 3 South Avenue, Clydebank, G81 2RX.

References in this Privacy Policy to “Cash for Kids”, “we”, “us” or “our” refer to one or more of the charities listed above (as applicable depending on your location and the nature of your interaction with us).

Our Data Promise to you

We are committed to protecting your personal data. In particular, we will:

  • Process personal data lawfully, fairly and in a transparent manner.
  • Collect personal data only for specified, explicit and legitimate purposes.
  • Ensure that personal data is adequate, relevant and limited to what is necessary for the purposes for which it is processed.
  • Take reasonable steps to ensure personal data is accurate and, where necessary, kept up to date.
  • Keep personal data secure using appropriate technical and organisational measures.
  • Retain personal data only for as long as is necessary for the purposes for which it was collected and to meet any legal, regulatory or reporting requirements.
  • Respect your rights in relation to your personal data, including your rights to access, object to processing, and withdraw consent where applicable.

We do not sell personal data. Where we propose to share your personal data with other parts of Bauer Media Group or carefully selected third parties for marketing purposes, we will do so only where you have provided your explicit consent. You may withdraw that consent at any time.

Email newsletters, SMS and marketing communications

Where you choose to opt in to receive email newsletters, SMS text messages or other marketing communications from Cash for Kids, we will collect your name and relevant contact details (such as your email address, telephone number and/or postal address) and record your consent and communication preferences. This information is stored securely and managed within our systems.

You can opt out of marketing at any time:

We will retain your marketing opt-in information for as long as you wish to receive communications. If you opt out, we may retain limited information on a suppression list to ensure your preferences are respected and you are not contacted again.

Shop customers

If you purchase merchandise or products from a Cash for Kids online shop, we collect the information necessary to process your order, including your name, contact details, delivery address and payment confirmation.

Payments are processed securely by third-party payment providers. We do not store full payment card details.

Shop customer data is used to fulfil orders, manage customer service queries, maintain financial records and comply with legal obligations.

Contact, registration and enquiry data

Unless you have opted-in for further contact, personal data submitted via contact, registration or enquiry forms is retained securely for up to two years after your last interaction, unless a longer retention period is required by law.

Payment information

We use PCI-DSS compliant third-party payment providers to process card and online payments. We do not store full debit or credit card details on our systems.

Sharing your data

We may share personal data with carefully selected third parties where this is necessary for the purposes set out in this Privacy Policy, including:

  • IT, hosting and systems providers.
  • Payment processors and fundraising platforms.
  • Event organisers and fulfilment partners.

Functionality, social and embeds (non-Essential, consent-based)

These services improve your experience, display third-party content, or measure campaign effectiveness and support remarketing. When enabled, they may set their own cookies and collect usage data in accordance with their own privacy policies. Such third-party services include, but are not limited to:

We apply appropriate technical and organisational measures to protect personal data. Access is strictly restricted to trained and authorised personnel.

Personal data is retained only for as long as necessary, considering legal, regulatory, tax and operational requirements.

Your rights and Data Access Requests

You have rights under UK GDPR, including the right to access, rectify, erase, restrict or object to processing, withdraw consent and request data portability.

You may exercise these rights or submit a data access (subject access) request via the form at bauerlegal.co.uk/subject-access-request-form.

We may need to verify your identity and aim to respond within one month.
